2024 Transition Status

We live in a great community and in an amazing place!
The Cumbre Vista Board of Directors (BOD) is extremely grateful to live among wonderful neighbors and friends with these scenic mountain views. It’s the people in our community that make this place great, and we feel privileged to live among you. To better serve the community, the BOD is changing our HOA management company.
1. The BOD met with RM on 4/10/24 and reviewed all the transition tasks. While there are a few follow up items we are still working on, the transition is complete and we are moving into the next phase.
2. There are only 19 homeowners of the total 176 that that still need to get their account setup with RealManage. We will be reaching out to them at least 3 more times via email and postal notices before 6/1/2024 to get their account setup with RealManage.
3. The BOD is working with the RealManage inspections team to review the violations they find 2 more times before we set them loose to complete the work. This helps RealManage get a flavor of our community. Our violations process will start with a courtesy notice in which the homeowner has 30 days to cure the notice before a violation notice would be sent. We also moved the inspection day to be any other day except Tuesday as that is the day after our mid to late afternoon trash pick up. This will give folks more time to get their trash bins put away.
4. The BOD is working through the 2024 goals as listed here in the “What are the BOD 2024 goals for our HOA?” section.
1. The RealManage welcome letter with instructions for how to setup an account was mailed 12/5/23. Each of you should have received the letter in your postal mailbox already.
2. The welcome letter contains two critical and personal pieces of information for you to be able to setup an account. You will want to make note of your Account and Checkdigit ID numbers as you will need those during the sign up process.
3. Once you are signed in to the RealManage HOA Management portal website, you can setup your assessment fee payment via ACH, eCheck/Credit Card, personal check, or your banks online bill-pay services. If you send a personal check, please print off your account statement as listed in the portal and send that statement in with your check. The account statement has a payment coupon at the bottom.
4. Once you get logged into your account, please check out your personal information to make sure it got transferred over from our old HOA management company correctly. If it’s not, please call RealManage at 1-866-473-2573 to get it corrected.
5. Go ahead and setup your method for the assessment payment inside the portal or print off your account statement to get a payment coupon. If you need help, please call RealManage at 1-866-473-2573 or send an email to cumvista@ciramail.com.

1. Assessment Increase notices have arrived our postal mailboxes. The whole community should now be aware (once they read their letter) of the official assessment increase to $295/year and that we are changing HOA management companies.
2. RealManage has confirmed they have sent the HOA Welcome packet via postal mail and will also be sending an HOA Welcome email notice.
3. The Welcome packet will include how to set yourself up an account on the new HOA Management portal website and how to schedule your 2024 HOA assessment fee.
There is a state requirement to send out a postal notice of an HOA assessment increase approximately 30 days prior to the due date. Our new HOA management company, RealManage, is still importing homeowner information from Dorman into their system. To maintain compliance, Dorman will be sending out a postal notice about the 2024 assessment increase. It will read as follows.

Assessment Increase Notice November 21, 2023
Dear Valued CUMBRE VISTA HOMEOWNERS ASSOCIATION, INC. Homeowner, Pursuant to the Association’s Governing Documents and the state’s requirement of a 30-day mailing notice prior to the assessment increase, the 2024 Operating Budget was reviewed and approved by the Board of Directors and ratified by the Owners at the October 23, 2023, meeting. The annual assessment will increase to $295.00 per year beginning January 1, 2024.
RealManage, Cumbre Vista’s new HOA management company, will send out instructions in December for how to make payments. Please hold your payment until you receive these instructions from RealManage. If you’ve already made your 2024 payment to Dorman, it will automatically be transferred to RealManage.

Cumbre Vista BOD
1. Task: Obtain HOA Documents: Phase 1 of the document transfers from Dorman is complete. This is the most significant transfer of information and is the foundation needed to import homeowner information into RealManage’s system. There will be more smaller sized requests during the transition.
2. With phase 1 of the document transfer completed in November, we are about 1 week ahead of schedule. RealManage is now able to start working on the homeowner communication tasks.
The contract start date is Jan 1, 2024. The timeline contains tasks for Dec 2023, Jan 2024 and Feb 2024.

RealManage requested the following documents from Dorman on Nov 1, 2023.
1. Board member list, terms and contact information
2. Current lot/unit owner list (excel-flat file) with mailing addresses and contact information (email/phone)
3. Governing Documents (DCCRs & Amendments, Articles, Bylaws, Dedicatory Instruments)
4. Most recent Federal tax return (to confirm the Federal Employer ID)
5. Assessment rates and collection policy (including late fees and ownership transfer fees, confirmed with assessment billing report)
6. Current year approved budget
7. Reserve Study
8. Vendor list with account numbers, contact information and mailing address, especially for attorney and CPA
9. Copies of all utility invoices w/a list of online usernames and passwords allowing us to change mailing addresses and set up on EFT
10. Copy of the association’s Certificate of Insurance (COI)
11. Most recent financial report with bank statements
12. Prior Year End financial package with full GL for CPA audit/review
13. Current Year-to-Date GL
